Who we are

ESmarts360 is a business management application operated by ESmartsSolution, Pakistan (“we”, “us”). This policy explains how we handle personal data on this website and in the ESmarts360 application. Contact: esmarts360@esmartssolution.com or the Contact page.

Our role

For data that your business enters about its own students, parents, customers, patients or staff, your business decides what is collected and why; we store and process it only to provide the service to you and on your instructions. For website visitors, account holders and billing, we decide how the data is used, as described below.

Data we collect

We collect only what is needed to run the service:

Account data: name, email address, a securely hashed password (never stored in plain text) and optional 2-step verification settings.
Business records you and your staff enter, such as students, classes, fees, attendance, results, customers, products, sales, invoices, appointments and expenses.
Security and usage records: sign-in sessions, rate-limit counters and an audit log of important actions, which can include the IP address and browser used.
Billing records: your plan, licence dates, payment references and the payment proof files you upload.
Enquiries: details you type into the contact or live tour form (such as name, business, email, phone, WhatsApp and message).

Children's data

Schools and colleges may record information about students under 18. The institution is responsible for having a lawful basis and, where required, parental consent for this. Parent accounts can only see records of their own children. We do not use student data for advertising or any purpose other than providing the service.

How we use data

To provide, maintain and secure the application.
To send service emails: email confirmation, password reset, invitations, trial and licence reminders, and payment updates.
To reply to enquiries and arrange live tours.
To verify payments and keep billing records.
To improve the website using aggregated, anonymous statistics.
To comply with legal obligations under the laws of Pakistan.

We do not sell data

We do not sell or rent personal data, and we do not use your business records for advertising.

Service providers and storage

The application and database are hosted by our hosting provider, and emails are sent through our email provider. Their servers may be located outside Pakistan. If the optional AI setup assistant is enabled, the answers given in that assistant are sent to our AI provider to produce recommendations; setup also works without AI. We share data only as needed to provide the service, or when required by law or a lawful order of a competent authority in Pakistan.

Website analytics and cookies

Our own website statistics use no cookies and store no IP addresses. Optional Google Analytics loads only if you accept it in the cookie banner. See the Cookie policy for details.

How long we keep data

Account and business data are kept while your account is active. When a trial or plan ends, access pauses but data is kept so you can renew. If you ask us to close your account, we delete or anonymise your business data within 90 days, except records we must keep by law (for example billing records) and routine backups, which are overwritten on their normal cycle.

Your rights

You can ask for a copy of your personal data, ask us to correct it, or ask us to delete it. Organization administrators can export most records as CSV themselves. Send requests to esmarts360@esmartssolution.com; we reply within 30 days.

Security

Each business's records are kept separate from every other business, access follows assigned roles and permissions, passwords are hashed, connections use HTTPS, and sign-ins can be protected with 2-step verification. No system is completely secure. If we become aware of a breach affecting your data, we will inform affected businesses without undue delay.

Changes

We will update this page when our practices change and show the date of the latest version above. For important changes we will also notify account owners by email.
